Me parecía interesante poder compartir con vosotros mi experiencia organizando un Congreso Internacional en Barcelona y los principales factores a tener en cuenta.

– Briefing con el cliente para conocer tipología del congreso y características específicas del congreso: número de asistentes, duración del congreso, agenda, transporte, alojamiento, actividades…
– Contactar con las venues que tienen capacidad para acoger el evento y consultar fechas disponibles, instalaciones y posteriormente solicitar presupuestos iniciales.
– Contactar con los hoteles que tienen capacidad para alojar a los asistentes, restaurantes y previsión de precios.
– Planificación de transfers y transporte de los asistentes.
– Planificación de RRSS, página web, comunicación y relacionados.
– Organización de la Secretaría Técnica.
– Planteamiento de Actividades complementarias.
– Sponsors.
– Prepararse para los millones de imprevistos.

I want to share with you my experience organizing an International Congress in Barcelona with a list of steps to follow during the planning of the Congress.

I’m including here a list of highlights ?

– Briefing with the client to discuss the characteristics of the congress: expected attendees, duration, agenda, transportation, accommodation, activities…
– Contact the venues with enough capacity to host the congress and check the available dates, facilities and start to check the economical proposal.
– Contact with the hotels and restaurants and negotiate special rates.
– Planning transfers and transportation for the attendees.
– Planning Social Media, Website, Communication and related topics.
– Organization of the Technical Secretary.
– Planning complementary Activities.
– Sponsors.
– Be ready for last-minute changes.
